This Privacy Policy explains how Sage Labs SA (“Sage Labs”, “we”, “us”, or “our”), the company behind ExamPilot, collects, uses, and shares information when you use the ExamPilot website and application (the “Service”). By using the Service, you agree to the practices described in this policy.

Who we are

Sage Labs SA operates ExamPilot, a learning platform that helps students prepare for international school mathematics examinations. Sage Labs SA is registered at [REGISTERED OFFICE ADDRESS]. If you have any questions about this policy or your information, contact us using the details in the “Contact us” section below.

Information we collect

Information you provide to us

  • Account information — such as your name, email address, and a password, or the basic profile details shared by your sign-in provider if you sign in with Google.
  • Profile and study preferences — such as your exam board, subjects, and target exam dates.
  • Content you submit — such as questions, answers, working, messages you send to our AI study features, and any files you upload.
  • Payment information — if you make a purchase, our third-party payment provider collects and processes your payment details. We do not store your full card details.
  • Communications — such as messages you send us for support, feedback, or survey responses.

Information we collect automatically

  • Usage and activity — such as the pages and features you use, practice attempts, and time spent studying.
  • Device and technical data — such as your browser and operating system, device type, IP address, an approximate location derived from your IP address, and similar identifiers.
  • Cookies and similar technologies — including product-analytics and session-replay tools that record how the Service is used, so we can understand and improve it.

How we use your information

We use the information we collect to:

  • provide, operate, and maintain the Service;
  • personalise your learning experience and recommend relevant practice;
  • process payments and manage trials, credits, and any subscriptions;
  • send you service messages, such as important notices about your account or the Service;
  • send you optional updates and offers, which you can opt out of at any time;
  • analyse how the Service is used so we can improve and develop it;
  • keep the Service safe and secure, and detect and prevent fraud, abuse, and misuse; and
  • comply with applicable law and enforce our Terms of Service.

AI-powered features

Some features use artificial intelligence to generate explanations, feedback, and practice. Content you enter into these features is processed by us and by third-party AI providers in order to produce responses. Please do not enter information you would not want to be processed in this way. AI-generated content can be incomplete or inaccurate — please see our Terms of Service for more on this.

Cookies and similar technologies

We and our providers use cookies, local storage, and similar technologies to keep you signed in, remember your preferences, measure how the Service is used, and improve it. You can control or disable cookies through your browser settings, though some features may not work properly without them.

How we share information

We do not sell your personal information. We share information only as described below:

  • Service providers who work on our behalf — including cloud hosting and infrastructure, databases, email and communications, payment processing, product analytics, security and anti-abuse, and the AI and machine-learning providers that power our study features.
  • Sign-in providers — such as Google, if you choose to sign in with a third-party account.
  • Legal, safety, and rights — where we believe it is reasonably necessary to comply with the law, respond to lawful requests, or protect the rights, safety, and security of our users, the public, or Sage Labs.
  • Business transfers — in connection with a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction.

Some of these providers operate in countries other than your own.

International processing

Because we and our providers operate internationally, your information may be processed and stored in countries other than the country where you live. We take steps intended to protect your information wherever it is processed.

How long we keep your information

We keep personal information for as long as your account is active or as needed to provide the Service. When information is no longer needed, we aim to delete or anonymise it within a reasonable period, unless we need to keep it longer to meet legal, security, or record-keeping requirements.

Security

We use technical and organisational measures designed to protect your information against loss, misuse, and unauthorised access. However, no method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please keep your password confidential and contact us if you believe your account has been compromised.

Children and younger students

ExamPilot is used by students preparing for school examinations, and many of them are under 18. The Service is not intended for children under [MINIMUM AGE — e.g. 13]. If you are under 18, you may use the Service only with the permission and involvement of a parent or guardian, who accepts our Terms of Service on your behalf. If you are a parent or guardian and have a question about your child’s information, please contact us at privacy@exampilot.io.

Your choices

  • You can view and update most of your account information in your settings.
  • You can opt out of marketing emails using the unsubscribe link in those emails or by contacting us. We may still send you essential messages about your account or the Service.
  • You can manage cookies through your browser settings.

You can also contact us at privacy@exampilot.io with any question or request about your information, and we will respond within a reasonable time.

Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and change the “last updated” date. Where the changes are significant, we will take reasonable steps to notify you.
